Tuesday, April 8, 2003 Meeting Minutes

Open the Meeting:

bulletBarbara Campo opened the meeting at 7:15 p.m.

Greens Committee (update by Karen Cadorette)
bulletConfirmed 13 trees were purchased from Adams in time for April 22 USA Tree City presentation, and also for planting on Sat April 26. They are not bare-root, they are balled and burlapped or containerized.
bulletNew irrigation bags and stakes will also be purchased. Adams agreed to defer payment until the village releases funds in the new fiscal year.
bulletThere will be a meeting at 6 p.m. on Monday April 14 to identify the locations of the 13 trees. We will meet at the village hall, and then locate places where trees were removed in past years. We will then decide which tree (either the taller London Plane and Ginkgo or the shorter Goldenrain) is appropriate for that site. We will also contact the homeowners at those sites to make them aware of the planting. Anyone and all are invited to come and see the sites and help choose the new locations!

Outreach Committee (update by Joanna Fivelsdal)
bulletRed Hook High School Honor Society has been contacted. Honor students will be helping in the distribution of fliers on April 19th at Tiberio's IGA for our Stewart's fundraising campaign.
bulletThe "tree-mometer" project has been discontinued. Students were unable to help with it in time. Rather than pursue the project without student volunteers, the general committee determined to simply discontinue the project. We felt that that it would not really serve its intended purpose, since there was not a good enough place to keep it permanently stationed in view of many people. The idea may be revived in future years.
bulletThe Village Green has been invited to participate in Bard College's Earthfest to be held around Bard's community garden on April 19th from 12 p.m.-6 p.m. An outreach committee representative will be meeting with the organizers of Earthfest to plan the Village Green's participation in the event. We will have a table with a display, Stewart's week flyers, and T-shirts to sell.
bulletA list of local businesses and their addresses and phone numbers is currently being compiled.

Media Committee (update by Mark S. Meritt)
bulletFranceska Urbin has been in touch with PANDA.
bulletThey will get back to us next week on whether or not they can videotape our April 22 event. If they can't, Brenda Cagle's husband will videotape.
bulletEither way, PANDA will be able to enhance the video taken before it airs. Air date is still to be decided.
bulletWe can provide - in person or via mail - a press release on our events so that they will be included in PANDA's community information listings.
bulletMark will email the press release for the Arbor Day week events will go out to local media outlets on Friday, April 11. He will also ensure that PANDA gets a copy.

Fundraising Committee - no update, as no committee members were present

Additional business
bulletT-shirts
bulletBrenda suggested that all volunteers/committee members should have the T-shirt to wear to our planned activities. David Seymour and the general committee agreed that this would serve as a nice thank-you for volunteers' efforts. Any volunteers who have previously purchased T-shirts for themselves will be reimbursed.
bulletThere was a discussion about updating the logo to match the one on the website and stationery, and to change the color of the T-shirt to beige. Also we agreed that we need to order more T-shirts as we plan to sell them at all of our events over the next month.
bulletBarbara will contact Evelyn about contacting the printer to get prices for more T-shirts with new logo, etc.
o Mark will bring shirts to next meeting for all committee members to have.
bulletKaren suggested that we blow up a map of the village and put on the trees that we have planted and will be planting and display it at the Village Hall. She then volunteered to implement the project.
bulletThe Village has given the Village Green Committee $6000 for our budget this year, approximately 50% more than was requested.
bulletNext general meeting remains scheduled for Tuesday, April 15, 2003.

Motion to Close Meeting:
bulletMark made a motion to close the meeting at 8 p.m. Brenda seconded the motion.
