Minutes

  • Goals for 2003:
    • Raising $10,000
    • Planting 24 trees (plus any honorary or memorial donations)
    • Vest Pocket Planting in the Village.
       
  • General
    • A request was made for someone to take minutes at each meeting. Christina Staubi agreed to take on this responsibility.
    • Meetings will now be held on the last Tuesday of each month. Our next meeting will be Tuesday, January 28, 2003.
    • An item will be added to each month's agenda for the committees to give an update on their activities.
    • The Village Green Committee is a tax-exempt organization. Officers should use the village's tax exempt ID number when making purchases.
    • To get reimbursed from our budget for purchases, you must fill out a voucher form.
    • David Seymour requested information about each of the committees that was formed. Each committee should e-mail David the appropriate information, including a list of the people serving on the committee.
       
  • Fundraising Committee
    • Our goal for 2003 is to raise $10,000.
    • We have already received a few donations as a result of the advertisement in the water bill. We will place another advertisement in the next Red Hook water bill as well.
    • All donations will be deposited in a special account, which is separate from village funds.
    • Donors will receive a receipt for their donations for tax purposes. Barbara Campo needs to work with Cindi Cole to determine the format for this receipt.
    • There was more discussion regarding Stewart's Shops matching grant program for non-profit, community-based organizations, particularly about the week for which our matching effort should be scheduled. Two suggestions were to schedule it for April to coincide with Arbor Day, or to schedule it to coincide with Apple Blossom day. The fundraising committee should make their recommendation at a future meeting and then open it up for discussion. Also, David Seymour agreed to talk with the manager of one of the local Stewart's Shops to get more information.     • Adams is willing to donate $50 to the Village Green Committee. Barbara Campo and David Seymour agreed to work together to draft a letter to Adams regarding this donation.
    • A letter has been drafted to aid our fundraising activities with local businesses and community groups. This letter explains our organization, purpose, etc. The Village Green Committee needs to purchase official stationery on which to print this letter. An officer needs to give David Seymour a list of the materials that are needed and he will try to purchase them under the umbrella of the Red Hook Village.
    • There was more discussion on memorial plaques for donors. Karen Cadorette will research the cost of the plaques.
    • Instead of a thermometer to track our fundraising progress, someone suggested that we use a picture of a tree, and then add leaves as we receive funds.
       
  • Outreach Committee
    • Joanna Fivelsdal continues to work on setting up a presentation at Bard College. Each committee should bring to the January 28th meeting a description of their purpose, what they are working on, and how Bard students can help so that this information can be included in the presentation.
    • Joanna Fivelsdal requested that the Village Green Committee come up with a mission statement. The officers need to come up with this mission statement.
       
  • Greens Committee
    • Need to order trees for the next scheduled planting by the end of February.
    • The tree ordinance requires all trees removed since June of 2001 to be replaced. Need to work with David Seymour to come up with a list of these trees.
    • Evelyn has a list of trees that were removed in years prior to 2001.
    • Tree Inventory:
      • Need to create some type of database to keep track of the trees that have been removed and replaced.
      • There was also discussion regarding creating a database to keep track of the existing trees in the village. Issues raised dealt with the type of information the database should contain, who should create the database, and who should maintain the information in it. The Greens Committee and the Outreach Committee need to meet to discuss how best to approach this project.
    • Village Hall Landscape Project:
      • David Seymour suggested that the Village Green Committee should maintain responsibility for this project, but it will have a separate budget.
        o David will be sending a letter out to 5 local landscapers to determine interest in bidding on the Village Hall Landscape Project.
        David will give Barbara Campo a list of the 5 landscapers that will receive the letter. If additional landscapers should receive the letter, please let David know.
      • A copy of the plans for the Village Hall Landscape Project should be placed on our website. Joanna Fivelsdal will take a digital picture of the plans and send it to Mark Meritt to post on the website.
    • There was discussion regarding Arbor Day observance in Red Hook. We may need to form another committee to oversee this. Perhaps the Outreach Committee should be involved?
    • A meeting will be held to discuss what will be planted in 2003 and to put together a schedule.
